Who does this notice apply to?

This notice is for anyone who is booking or attending a language course at UEA or has requested information about language courses.

What type of information we have?

We currently collect and process the following information:

  • Personal identifiers, such as name, address, email address, telephone number, as well as financial information required to make a booking

  • We may also collect information to be used for marketing purposes, when contacting you about events or information relevant to you or your course.

  • We also ask you to provide us with any accessibility requirements you may need us to know in order to take part in the course; this information is optional.

Legal basis for using your data

The lawful basis we are relying on to process your personal data for enrolling you onto a course is article 6(1)(b) of the UK GDPR, because it is necessary to perform our contract with you, or to take steps at your request before entering a contract. If you choose not to provide us with the data that we require for this purpose we will be unable to enrol you on a course.

If you register on our mailing list we will use your data for marketing purposes, and will require your consent as in article 6(1)(a). You can withdraw this consent at any time by emailing ulp@uea.ac.uk.

Where does our information come from?

Most of the personal information we process is provided to us directly by you

What we do with the information we have

We use the information that you have given us in order to register you onto the correct course, to provide your course tutor with a register of students and to contact you throughout the duration of your course with materials and any other necessary information. If you sign up to our mailing list, we will contact you only to tell you about evening classes and any relevant events. We will collect your personal information when you book onto a course via our UEA Store booking system. We will use this information to enrol you, collect any payments and keep in touch during your course.

We will also collect your personal information if you choose to sign up to our mailing list through our online web form.

Your information will be used only by the UEA Language Programme Team and not shared with any other business or third party. Any specific requests from a third party for us to share your personal data with them will be dealt with in accordance with the provisions of the data protection laws.

How we store your information

Your information is securely stored on the UEA servers. We keep personal identifiers, such as name, address, email address, telephone number, for up to 5 years. We will then dispose your information by deleting it electronically from our servers. We use Microsoft applications and the UEA online store system to process your personal information. We have agreements in place with Microsoft and Flywire, who are data processors on behalf of the University and so have access to the data described above.

 UK data protection law gives people a wider range of rights in relation to their personal data. The rights are as follows: 

The right to be informed (meaning the right to be told how your data will be used, for example by means of a privacy notice) 

The right of access to your personal data held by an organisation 

  • The right to have inaccurate data corrected 

  • The right to erasure (known as 'the right to be forgotten') 

  • The right to restrict processing of your personal data 

  • The right to data portability 

  • The right to object
